Membership types and turn cards

Club Planner has three kinds of membership: a subscription, a turn card and a cost. The type you choose determines how payment works, how access is counted down and whether pro rata applies. This guide explains the difference and how to set up a turn card correctly.


The membership overview

Steps

  1. Go to Settings.
  2. Click Memberships in the left-hand column.

You will see a list with All, Active and Not active filters, and per membership the columns ID, Description, Duration, Price, Pro Rata, Type and Webshop.

💡 Tip: the Type column is the fastest way to check a membership is set up correctly. If it says Subscription where you expected a turn card, Club Planner will not count turns down.


The three types

Subscription

  • Grants access for a period: a month, six months, a year, or Always for an ongoing membership with automatic prolongation.
  • Is charged periodically, usually by direct debit.
  • Turn on Pro Rata when a member starts mid-period and you only want to charge the remaining days.

Turn card

  • Grants a fixed number of turns instead of unlimited access for a period.
  • One turn is deducted on each reservation or check-in.
  • The duration is the card's validity, not the number of turns. A card with a duration of 6 months expires after six months even if turns remain. Choose Always if turns should not expire.

Cost

  • An amount without any access right, for example administrative costs, a membership card or a joining fee.
  • Appears on the invoice but grants no access to activities.

Creating a turn card

Steps

  1. Go to Settings → Memberships.
  2. Click Add new membership.
  3. Give it a clear description that states the number of turns, for example 10-turn card group classes.
  4. Set Type to Turn card.
  5. Enter the number of turns.
  6. Choose the duration: the period within which the turns must be used, or Always if they never expire.
  7. Enter the price.
  8. Switch Webshop on if members should be able to buy the card online.
  9. Click Save.

⚠️ Important: a turn card does not yet grant access to your classes. You still have to link it to the activities or calendars it applies to. Without that link the member can buy it but cannot book.


Following up turns and expiry

  • The number of used and remaining turns is on the member profile, under the tab with that member's memberships.
  • The end date of a sold card is changed on that member's subscription line, not on the membership itself. The membership is the template; the subscription line is what this one member bought.

💡 Tip: set up an automation that notifies the member when only a few turns remain. It is one of the simplest ways to get a card renewed in time. See Setting up automations.


Result

Your memberships carry the right type, your turn cards count down correctly, and you know where to follow up turns and expiry dates.
