TouchSystems

What is TouchSystems?

TouchSystems is the connection between your Club Planner point of sale (POS) and a Belgian registered cash register system - better known as the white cash register or GKS (in French: SCE). As soon as you settle a bill in Club Planner or Club Desk, the integration automatically forwards that completed order to the TouchSystems cash register system, so that your hospitality revenue is registered in a fiscally correct way.

The integration card in MyClubPlanner says it very clearly itself:

"Integration with the Belgian white cash register system. Only needed if you generate more than €25,000/year in revenue from meals."

In short: TouchSystems is only relevant if your club operates a bar, cafeteria or restaurant that exceeds the Belgian hospitality threshold for a mandatory white cash register. If you operate below that threshold, you don't need this connection (although a VAT receipt for meals consumed on-site may still be required).

TouchSystems is the external supplier of the registered cash register system. They provide the actual fiscal cash register (hardware and software); the connection in Club Planner merely handles the flow of your sales to that system. The registered cash register system itself is entirely on the TouchSystems side.

Please note: the name "TouchSystems" appears as an integration in Club Planner, but the exact company details of the supplier (website, location, product range) are not described anywhere in Club Planner. If in doubt, ask which supplier and which certified system applies to your club.

What can TouchSystems do for my club?

The connection takes your fiscal registration obligation for meals off your hands, without you having to re-type any data manually. Specifically:

  • Automatic fiscal registration. Every settled bill in Club Planner / Club Desk is automatically forwarded to the registered cash register system (GKS / white cash register). This way your meal and bar revenue lands in a legally compliant system - exactly what the white cash register is intended for: combating VAT fraud.
  • Set up once, then nothing more. In MyClubPlanner you enter an API URL and an API Key and switch the toggle to active. From then on, forwarding happens automatically, with every completed sale.
  • Works from your POS screens. The forwarding happens from the sales and payment flows of Club Planner and from the Club Desk checkout. The POS point ID is passed along by the sales app at the moment of sale.
  • Works for multiple clubs. The settings can be inherited from a parent club or set up separately per club, handy if you work with a group of clubs.

When is this relevant for you? A registered cash register system is legally mandatory in Belgium as soon as your hospitality activity generates €25,000 in revenue per year from meals (meals only, excluding drinks and excluding VAT). If you stay below that, you don't need the TouchSystems connection.

What the connection does not do is good to know:

  • It is one-way traffic: sales go from Club Planner to TouchSystems, no data comes back. TouchSystems cannot send back or reject an individual line towards Club Planner.
  • There is no product or cash register mapping screen in Club Planner. How a POS point is linked to a specific device or cash register at TouchSystems is arranged on the TouchSystems side.
  • In Club Planner, no fiscal hardware is needed - the connection is a pure cloud connection. The actual white cash register hardware (e.g. the FDM module) is entirely at TouchSystems.

Look ahead to GKS 2.0. Belgium is renewing the system: the old black box + VAT signing card are being replaced by an online Fiscal Data Module (FDM) that sends transactions directly to the tax authorities, with a standardized transaction file. Existing hospitality businesses migrate to GKS 2.0 in phases. The transition broadly follows the schedule below:

This phasing is a general indication; some sources phrase it slightly differently. Always check the exact date for your club with the official guidelines of the FPS Finance.

How do I set up TouchSystems?

You enable the connection yourself in MyClubPlanner. Creating the actual fiscal cash register and the associated data, however, happens at TouchSystems itself, outside Club Planner. So arrange the preparatory work first.

What you need beforehand

  • An account or subscription with TouchSystems (the supplier of the registered cash register system). They provide you with an API URL and an API Key. Club Planner does not create or verify this data - it only stores it and forwards it. So request these values directly from TouchSystems.
  • You actually sell POS or hospitality items via a Club Planner cash register screen or via the Club Desk checkout.
  • An employee account with the right to manage settings (AllowSettings), so that you can access Settings > Integrations.
  • In practice: a hospitality activity that exceeds the threshold of €25,000 in meal revenue per year.

Setting up in MyClubPlanner

  1. Go to Settings > Integrations.
  2. Find the TouchSystems tile and click the Settings button. A page opens with one toggle and two fields. (There is deliberately no "Connect" or sign-in button: the configuration is manual entry of your data, not a guided or OAuth connection.)
  3. Switch the Active toggle on.
  4. Paste the API URL you received from TouchSystems into the API URL field.
  5. Paste the API Key from TouchSystems into the API Key field.
  6. Click Save. The tile shows the status Active as soon as the toggle is on and both fields (API URL and API Key) are filled in.

After that you don't have to do anything more: every bill you settle in Club Planner or Club Desk is automatically forwarded to TouchSystems. No additional mapping per item or per cash register is needed within Club Planner.

Good to know

  • Treat the API Key like a secret password: it is the key with which your sales are forwarded. Do not share it and keep it safe.
  • The fiscal compliance (the actual white cash register, the FDM/signing, the certification) sits entirely on the TouchSystems side.
